Delivery Policy
How Vector Flow delivers AI projects, software, and services — timelines, formats, acceptance, and your rights as a client.

Overview
Vector Flow provides digital AI services, software, and consulting — all delivered electronically. We do not ship physical goods. This policy describes how we deliver projects and services, the timelines you can expect, and what happens at each delivery milestone.
Digital Deliverables
Depending on the nature of your engagement, Vector Flow may deliver one or more of the following:
- AI Models: Trained and validated machine learning or deep learning models, delivered as containerised artifacts (Docker), ONNX/TensorFlow SavedModel, pickle files, or via API
- Source Code: Python, Node.js, or other agreed languages — delivered via private Git repository (GitHub, GitLab, or Bitbucket) with full commit history and documentation
- Data Pipelines: ETL/ELT scripts, data transformation logic, and orchestration configurations
- Dashboards & Reports: Analytics dashboards (delivered as deployed web applications, Tableau/Power BI files, or PDF reports), performance reports, and model evaluation reports
- APIs & Integrations: RESTful API endpoints or webhooks, with API documentation (OpenAPI/Swagger)
- Documentation: Technical architecture documents, model cards, data dictionaries, deployment guides, and user manuals
Project Timelines
Delivery timelines are specified in the Statement of Work (SOW) signed before project commencement. Typical timelines by engagement type:
- Proof of Concept (PoC): 4–8 weeks from data receipt and environment access
- Starter Project (Single Module): 6–12 weeks
- Professional Project (3–5 Modules): 3–6 months
- Enterprise Transformation: 6–18 months with phased delivery
- Data Analytics Reports: 5–15 business days from data receipt
- API Integration: 2–6 weeks depending on complexity
Milestone-Based Delivery
All substantive projects are broken into milestones, each with defined deliverables, acceptance criteria, and payment triggers. A typical milestone structure:
- Milestone 1 — Discovery & Design: Requirements sign-off, architecture document, data assessment report
- Milestone 2 — Development Sprint 1: Initial model prototype, data pipeline, interim results
- Milestone 3 — Development Sprint 2: Refined model, integration with client systems, UAT environment
- Milestone 4 — Testing & Validation: Model evaluation report, performance benchmarks, client UAT
- Milestone 5 — Deployment & Handover: Production deployment, documentation, knowledge transfer, post-launch support begins
Each milestone deliverable is accompanied by a Delivery Confirmation email. The client has 7 business days to review and accept, raise change requests, or raise defects.
SaaS & Platform Access Delivery
For SaaS plans and platform access products:
- Instant Access: Account creation and platform access are provisioned within minutes of payment confirmation via automated systems
- API Keys: Issued immediately upon account activation via your account dashboard
- Onboarding: Enterprise plans include a 1–3 day guided onboarding session scheduled within 5 business days of subscription activation
- Custom Configurations: Any custom environment setup for enterprise plans — typically completed within 5 business days
Acceptance & Client Signoff
Each milestone delivery is subject to a formal acceptance process:
- Vector Flow sends a Delivery Confirmation with all deliverables and a checklist of acceptance criteria
- The client has 7 business days to test deliverables against the agreed acceptance criteria
- The client must either: (a) provide written acceptance, or (b) raise a formal defect list with specific, reproducible issues
- Vector Flow will address all valid defects within the agreed SLA and resubmit for acceptance
- If no response is received within 7 business days of delivery, the milestone is deemed accepted and the next payment milestone triggers
Delays — Causes & Remedies
Delays Caused by Vector Flow
If Vector Flow is responsible for a delay beyond the SOW timeline, we will notify you promptly with a revised delivery date. Persistent delays may entitle you to a service credit as agreed in the SOW, subject to the limitation of liability provisions in our Terms & Conditions.
Delays Caused by Client
Delivery timelines are contingent on the client providing required inputs promptly. Client-caused delays include:
- Late provision of data, datasets, or data access credentials
- Delayed stakeholder approvals or requirement sign-offs
- Failure to provide infrastructure access, API keys, or staging environments
- Delayed payment triggering a payment-gated milestone
- Scope changes or requirement revisions mid-delivery
For client-caused delays, the SOW delivery timeline is extended day-for-day, and Vector Flow is not liable for any consequences of the resulting delay.
Force Majeure
Neither party is liable for delays caused by events beyond reasonable control, including natural disasters, government actions, cyberattacks on third-party infrastructure, or critical third-party service outages.
Handover & Documentation
At project completion, Vector Flow provides a complete handover package including:
- All source code and model artifacts in agreed formats
- Technical architecture and deployment documentation
- Model cards (for AI models) — including training methodology, validation results, known limitations, and recommended use cases
- API reference documentation (where applicable)
- Data dictionary and pipeline documentation
- Deployment and operations guide
- Knowledge transfer session (typically 2–4 hours via video call)
All intellectual property rights to project deliverables transfer to the client upon full payment as specified in our Terms & Conditions.
